Administrator/ Receptionist – Wellington

We’re looking for an organised, people-focused Administrator/Receptionist to join our fun, friendly Wellington Geotechnics office. This is a permanent part-time role, 30 hours per week, worked across five days in the office. You’ll be the welcoming face at reception and provide admin support to teams in Wellington and, at times, other locations across New Zealand.

  • Welcome visitors and staff and manage the reception area
  • Answer and direct enquiries via phone and Microsoft Teams in a friendly, professional way
  • Receive and distribute mail and couriers
  • Provide general admin support to the team (coordination, scheduling, documentation)
  • Maintain and update databases, records and calendars
  • Data entry for financial documents
  • Coordinate company vehicle deliveries, pick-ups and maintenance
  • Manage equipment hire requests, coordination and charge tracking
  • Assist with staff travel arrangements as required
  • Check timesheets have been submitted and follow up as needed
  • Keep the office running smoothly—monitor supplies, kitchen/reception areas, and raise/action building or maintenance items proactively
  • Prioritise health, safety and wellbeing for yourself and the wider business
  • Support with additional administration tasks as required

Nā tōu rourou | What you’ll bring

  • 0–1 years’ experience in administration, reception or customer service (or a strong willingness to learn)
  • Full or restricted New Zealand driver licence
  • Confidence using Microsoft Word, Excel and Teams
  • Strong communication skills (written and verbal) and an excellent phone manner
  • A positive, can-do attitude and good sense of humour
  • Strong organisational skills and attention to detail
  • Ability to lift heavier packages from time to time
