We’re seeking a proactive Business Support Administrator / Coordinator to become a key part of our busy Onehunga-based team. About the Role
As part of our Business Support Team, you will be providing project support and ensuring seamless administrative and financial support processes are completed accurately and on time. You’ll also play an essential role in supporting day-to-day operations.
This is a primarily office-based role in our Onehunga office, with flexibility to consider part-time hours for the right candidate. Alongside project support & core business responsibilities, this position also includes assisting reception duties and helping to keep shared spaces smoothly—making you an important part of the overall day-to-day office experience.
Key Responsibilities
- Be a key point of contact for customer enquiries and job requests via phone and email
- Coordinate job scheduling and diary management, balancing customer needs and team capacity
- Set up projects in Deltek Vision (project management and financial software)
- Manage monthly billing, invoicing, debtor follow-up and accounts administration
- Prepare reports, data entry, document control, scanning and record archiving
- Support accounts payable and general business administration tasks
- Provide reception cover and assist with front-of-house responsibilities as needed
- Help support the smooth running of shared office spaces
- Work closely with the wider team to manage workflow and meet deadlines
- Help ensure efficient, accurate and profitable project delivery
What You’ll Bring
- Previous experience in administration, business support, coordination or accounts (ideally 3+ years)
- Strong organisational skills with the ability to juggle multiple priorities
- Confidence working across financial and project administration processes
- Solid MS Office skills and strong attention to detail
- A proactive, positive and team-focused attitude
- Excellent communication skills and a customer-first mindset
- A willingness to pitch in across reception, office support and team needs
- Ability to work independently while contributing to a supportive team culture
Bonus Points For
- Experience with project-based financial systems (such as Deltek Vision)
- Accounts assistant or accounting administration experience
- Experience in engineering, construction, consulting or technical services environments
